Who this is for

This guide is for any staff member who needs to know what actually happened with a member: when they last trained, when their rank or enrollment changed, what a colleague noted, and in what order.

Everyone with a staff login can read this. It is the record you reach for when somebody says "but I thought" and you need to know rather than guess.

Before you begin

  • Open the right member first. The history is theirs alone.
  • Know that notes are written and read on Details, not here; see Maintain member profile and notes. History only records that a note was added, never its text.

Steps

  1. Click Members in the left navigation, click the person, then click the History tab.
  2. Read the timeline. Entries are newest first, so what happened most recently is what you see without scrolling.
  3. Narrow it with the chips across the top: - All shows everything, which is where the tab opens. - Check-ins shows attendance. - Programs shows enrollment changes. - Rank shows promotions. - Billing shows charges and subscription events. - Account shows everything else: a note was added, a profile edit, a consent change, a waiver going on file, a portal sign-in, or the record being created.
  4. A bookmarked ?type=attendance or ?type=notes link still works: attendance opens Check-ins, and notes opens Account, since a note-added entry is one of the events it groups.

Expected outcome

The timeline loads newest first for this member, and a chip narrows it without taking you off their record. You stay in their workspace the whole time, so the name in the header is always the person you are reading about.

A note added on Details appears here as Note added under Account, without repeating the text; open Details to read it. Check-in entries match what attendance recorded; see Check in from a member workspace.

A member with nothing recorded yet says so plainly, rather than showing an empty table you might mistake for a loading failure.

Recovery

If the history looks empty, check the chip before concluding there is nothing. Rank on a member who has never been promoted shows nothing, and that is correct.

If an expected check-in is missing, the attendance was not recorded, or was recorded against a different person. Confirm the name in the header, then check the class it should have been on.

If a note you just added is not showing as Note added under Account, reload the page. If it is still missing, it did not save; write it again from Details.

If you cannot see entries you expect a colleague can, your access carries fewer permissions than theirs. Protected details are hidden rather than blanked, so ask an organization owner rather than assuming the record is incomplete.
